There are two different ways through which you can print QuickBooks Online Payroll. You can choose QB to pay and file your federal and state payroll taxes. Or you can file the taxes on your own or electronically.

W-2s will be mailed to your employees at the beginning of January 20 and ending January 31. Then, you can reprint them on plain paper if necessary from January 13.
Printing W-2s and W-3s for the current year:
You’ll have a period before January 13 to preview your W-2s, but we don’t recommend printing the preview copies to give to your employees. The official copies are available on January 13.
- Go to Taxes and then select Payroll Tax.
- Following that, click Filings and then choose in order to print both employer and employee copies of your W-2s and W-3. Further, tap on View on any of the following:
- Employer Copies: Form W-2 (W-2, Copies A & D)
- Transmittal of Wage and Tax Statements (W-3)
- Employee Copies: Form W-2 (W-2, Copies B, C & 2)
- Then, you will be prompted with a question of whether you or your employees contributed to a retirement plan outside of QuickBooks Online. Choose Yes or No option as per your choice.
- Thereafter, you are required to repeat the steps from 1 – 3 to get back to your W-2 or W-3 form.
- From the dropdown menu, select the relevant filing period (year).
- To open Adobe Reader in a new window, select View.
- On the Reader toolbar, click the print icon. Then pick Print once more.

Print previous year W-2s:
- Initially, go to Taxes > Payroll Tax > Filings > Annual Forms.
